Starting 1 January 2026, all businesses and freelancers in Spain who issue invoices using software must comply with the new VeriFactu system, introduced by Hacienda (the Spanish Tax Agency). This includes autónomos, small businesses, and companies of all sizes that use digital tools to generate invoices.

If you issue invoices manually (e.g. handwritten or basic PDFs), you won’t need to report them in real time — but you’ll still need to follow the new anti-fraud format.

Option 1: Buy VeriFactu-Compliant Software

If you already use invoicing software (like Holded, Quipu, Sage, or Xero), you’ll need to make sure it’s updated to meet VeriFactu requirements. That includes:

• Connecting to Hacienda’s web services
• Including the required security features

Pros:

• Saves time with automation
• Integrates with your existing accounting system
• Ideal for businesses with frequent invoicing

Cons:

• May require upgrades or switching providers

Option 2: Use Hacienda’s Free Web Portal

Hacienda will offer a free online tool for issuing VeriFactu-compliant invoices. It’s a manual system, but it meets all legal requirements.

Cons:

• Manual entry can be slow
• Limited features compared to paid software
• Not ideal for managing multiple clients or recurring invoices

What Should Small Businesses Do?

If your business issues invoices regularly, investing in VeriFactu-compliant software is likely the best long-term solution. It saves time, reduces errors, and keeps you compliant automatically.

If you only issue a few invoices per month, Hacienda’s free tool might be enough — at least to start.
